Online Payment of Fees

Qualicum School District uses School Cash Online as an easy to use, safe and convenient way for parents and guardians to pay for their children’s school fees, such as field trips and yearbooks.


Powered by Canadian firm KEV Group, School Cash Online strictly adheres to Canada’s privacy and anti-spam legislation and meets the latest industry standards for payment security. Any Canadian data collected is held on Canadian servers.  By using their services, you will be complying with their privacy policy and terms of use, found on their website.

Please note:
While online payment will be the preferred method of settling school fees when available, parents can still pay by cheque or cash if they wish.

When the District began using online payment

Qualicum School District implemented School Cash Online at most of our schools beginning in June 2018, with a full implementation at the beginning of the 2018-19 school year.  Parents were notified by their schools once the online payment system is fully operational.

How online payment works

All school fees applicable to a particular student will be posted on the SD69's School Cash Online website. Once registered, parents can choose to purchase the items or activities using one of three payment methods including credit cards. Parents will be notified whenever their child has a new school event requiring payment.

How to register

Parents can register by visiting Qualicum School District’s School Cash Online website, selecting “Get Started Today”, and completing the three easy registration steps.  The child’s first name, last name, and birth date are required for registration.  Email notifications will be sent as items become available for purchase online.

FAQ

  • Will I get a receipt for purchases?
    The individual who paid for the item will receive confirmation of the purchase on screen once payment has been successfully processed. They are able to print a copy of the electronic receipt by clicking the “Print” icon. This information is also recorded in the “Payment History” tab. A receipt will also be emailed to the email address associated with the system account.
  • Why does School Cash Online need my email address?
    Your email is needed for your username to log into the system, to email you receipts for payments or donations made, and to enable you to receive email notifications of school events and activities.
  • Which credit card options are available?
    The credit card options available are Visa and MasterCard.
  • Which company does Qualicum School District use to process online payments?
    We use School Cash Online, a product of the KEV Group. KEV, the industry leader in school financial management, is a Canadian company.
  • What should I do if I need a refund?
    Please contact your school office if you would like to request refunds for any items purchased.
  • What should I do if I forget my login or password?
    Click on "Sign In" at the top right of the School Cash Online page and then click on “Forgot your password?” link to reset your password. A temporary password will be sent to the email address registered with your account.
  • What should I do if I cannot see items I am expecting?
    Each school creates their own items for purchase and assigns them to its students. Once assigned, they will appear in the Student Items tab on School Cash Online. Please contact your child's school if you do not see the item you are looking for.
  • What should I do if I cannot locate my student in the system?
    Contact your school to confirm your student’s details (usual first name, last name and birthday) to ensure they match exactly what was entered in your school’s records.
  • What should I do if I cannot locate my school in the system?
    Qualicum School District is implementing the application in several waves. Not all schools may be starting online payment at the same time. Consult this website for a list of schools currently accepting online payment. All schools other than PASS Woodwinds will be accepting online payments.
  • What emails will I get from School Cash Online?
    You will only receive emails for new items available for purchase, your receipts, and any payment reminders.
  • Is registering for online payment mandatory for SD69 students and will cheque or cash still be accepted?
    Participation in online payment is optional. Parents and guardians will still be able to pay by cheque or cash for school activities. Cheque is the preferred option in this case because it helps to minimize the amount of cash in schools, and increases the safety of students who no longer need to carry large sums for payment.
  • How often will I receive email notifications?
    Email notifications are sent weekdays when new items have been posted and assigned to your child. If there are no new items, you will not be sent an email notification. A reminder notification may be sent for items that have not been paid.
  • How long does it take money to be deducted from my bank account?
    Most payments are deducted within three to five business days, depending on the individual banking institution.
  • Do I need to re-register a student who moves to a different school?
    If the student is moving to another school within the district, and School Cash Online is available for that school, then the items for the student will automatically be updated to reflect the new school.
  • Can parents and guardians have separate accounts?
    Yes. School Cash Online was designed for parents to have individual accounts. Students can be added to up to five different accounts.
  • Are my family’s purchases secure and how is our privacy protected?
    School Cash Online adheres to the Personal Information Protection and Electronic Documents Act (Canada) (PIPEDA), Canada's anti-spam legislation (CASL) and is compliant with the latest industry standards for payment card security (PCI).
